What Exactly Is Workplace Efficiency And How Do You Get More Of It?

July 13, 2016

Efficiency is a word that will come up time and time again any time you’re trying to change your business for the better. But its use has become a bit more malleable as time has gone on. It means entirely different things to people who will focus on different aspects of the business. In this article, we’re going to try cover most of the broader points. Of what people mean when they say make your business efficient, as well as how to actually do it.
Staff
You can’t talk about making any changes to the workplace without talking about the people who keep it running. Your staff are going to be affected by the rest of the changes in this article, too. However, this point focuses on how you better make use of your staff. How to be an efficient manager. Particularly, in terms of how you use them. Mainly, you want to make sure that you’re always developing them. Investing time and skills into them so they can return the favour. Using their new skills to save you a lot more time and money in return.
Office
The very workplace that those staff inhabit plays a big role, as well. The people who work with you need to have the kinds of space that allow them to do their job. You want to avoid the cubicle crush that affects morale and creates unnecessary barriers to communication. At the same time, you don’t want too open a plan that creates distraction everywhere. The tip is to arrange different spaces in the office to fit the different roles your staff will take on. Also, you want to think of time-saving ways of organising the office. Of placing equipment and resources in places that are easier and more quickly reached.
Technology
In most modern businesses, the technology involved naturally plays a large role. We’re not just talking about the software you can use to make it easier for you to do your business. But also how you manage that technology. How you take care of it so your business experiences as little downtime as possible. For example, using IT support for small businesses when it’s not economically sound to hire an in-house IT guy. Using a variety of internet connection options so when one network fails on you, it doesn’t halt the whole business.
Communication
Technology can also help you in the next point. Poor communication doesn’t just lead to bad collegial relationships. It can also cause a lot of miscommunication which results in more mistakes round the board. Project management software, for example, can help people collaborate together. Meanwhile, you want to make sure that time spent communicating is done to effect. For example, skipping the long sit down team meetings where people zone out more often than not. Instead, try standing or even walking meetings. They have the effect of helping people focus more on the conversation. With the added benefit of keeping people terse and to the point.
Methods
It’s not just skills, tech and space that helps your staff do their jobs. Honing down the exact steps of the methods they use to do it helps as well. People have different perspectives on how to do things. Some might see ways to cut time out of task that another wouldn’t spot. For that reason, you need to work together with your employees to systemise the different tasks in the office. Cut the amount of time and effort needed to do it, freeing them to move onto other things.
Marketing
In terms of making your business more successful, efficiency is about choosing the right routes. For marketing, a lot of that comes down to research. Finding the best ways to communicate your message to the people you want to reach. If you’re using social media, which channels reach the kind of people you want to reach? Will content marketing work well for your demographic? What sort of voice should your branding have? In all things customer-based, you need to use research and look back on data you collect to hone down the most efficient and effective methods.
Hopefully, this article has shown you that there are a lot of ways to think of making your business more efficient. To spend less resources, time and money on getting business gone. To take shortcuts without cutting corners. Efficiency means different things to different people. In the end, it all boils down to the same goal. To improve the processes of the business and make it all the better for it.
